Setting up document templates

Reusable contracts and policy documents with merge tags.

Steps

  1. Go to Settings β†’ Document templates and click Add template.
  2. Pick the template type: Employment contract or Policy.
  3. Type or paste the body content. Drag a .docx in to import an existing Word document.
  4. Insert merge tags from the right-hand sidebar β€” double-click any tag to insert at the cursor (e.g. {{first_name}}, {{start_date}}, {{base_rate}}).
  5. Save.

Using a template

When you hire a candidate or send a policy to a staff member, Optiq fills the merge tags from their profile and sends the personalised document for e-signature (via Dropbox Sign if configured).

Tips

  • Keep templates short and modular β€” one contract per employment type rather than a single template with lots of conditional sections.
  • The Text Tag Library (separate tab on the same page) lets you save snippets you reuse across multiple templates β€” insert with {{tag:snippet_name}}.
