Connecting Optiq to Xero

First-time Xero integration setup — OAuth, organisation selection, and what gets synced.

What's needed

  • A Xero account with Payroll enabled.
  • Super Admin permissions in Optiq.
  • The Xero organisation must be in AU (Australian payroll).

Steps

  1. Go to Payroll β†’ Payroll settings β†’ Xero.
  2. Click Connect to Xero. You'll be redirected to Xero to authorise the connection.
  3. Pick the Xero organisation. If you have multiple, you'll be asked to choose β€” pick the one your staff are in.
  4. Optiq runs an initial sync β€” pulls leave types, earnings rates, pay calendars, super funds, and existing employees. This usually takes 30–90 seconds.
  5. Once the sync finishes, the status changes to Connected and you can start running pay runs.

What syncs in each direction

  • Optiq β†’ Xero: staff, timesheets, leave applications, pay items, pay runs.
  • Xero β†’ Optiq: leave types, earnings rates, pay calendars, super funds, leave balances (fortnightly).

If something goes wrong

The Xero panel shows the most recent sync errors with the failing staff/timesheet. Common fixes: missing super fund, missing bank account, or stale Xero tokens (click Reconnect).
